Policies and Procedures Manual: Assistant Event Chairman
ASSISTANT EVENT CHAIRMAN/CHIEF OF COURSE
The Chief of Course needs to work very closely with the Event Chairman to insure the smooth conduct of an event. Therefore, the Chief of Course may also be the Assistant Event Chairman. The Assistant Event Chairman may be asked to perform additional duties by the Event Chairman, such as the design and/or setup of the SOLO II course or to conduct the Drivers Meeting. This position may also be used to train individuals interested in becoming a future Event Chairman.
Show up at event site in advance of registration opening.
Ensure that a course map is drawn and posted. Choose worker stations to avoid workers crossing course and denote on course map. Be sure to consult the SOLO Event Safety Steward to ensure worker safety.
Determine the method by which to sign up course workers. When workers sign up to work, use name and car number/class on the Work Assignment Sheet. Workers are usually needed for the following positions (some sites may require other workers as well):
Staging and Grid (at least two people, preferrably three)
Timing (radio, scoring, announcer, timer control, and floater; experienced preferred)
Course Worker Stations (at least two workers per station, three recommended; preferrably not all Novices at a single station)
Course set-up (as necessary)
Course take-down (as necessary)
Identify on the timing and scoring card that the driver has signed the worker sheet. Also, denote on the timing and scoring card any first time participants who may require additional instructions on course working procedures and explanation of the rules for down and/or misplaced pylons (normally done during Novice Walkthru by the Driving Instructor, but should be repeated prior to working the course).
Ensure that the workers show up for their work assignments and denote that they have worked their session on their timing and scoring card. Use information on the timing and scoring card to make it easier to locate those workers who fail to show up for their scheduled work assignments.
If a competitor fails or refuses to report for their work assignment, denote the circumstances on their timing and scoring card for use in possible disciplinary action that may be taken against the competitor.
Ensure that the workers in the staging area verify that all drivers and passengers have signed the insurance waiver, wear a helmet and wear the seat belts.
Ensure that the course workers understand their areas of responsibility and know the method for reporting pylon penalties and DNFs.
